Script:

Boss: Eric,please invite all our clients to the conference next week. You can get the clients' contact info from my Rolodex.

Eric: Yes, sir. Do we still use the conference room in the same hotel as last time?

Boss: Yes. It can be the most important meeting for our company this year, so everything has to be rearranged and checked. Can you arrange for things like tables, chairs, microphones, audio and visual equipment and even the lunch menu well?

Peter: Well, I’m afraid I’ve got a piece of bad news. My guys have just told me that tomorrow’s meeting has to be cancelled.

Mr. Brown: Cancelled? That just can’t happen!

Peter: Sorry, but the equipment broke down and can’t be fixed till Friday.

Mr. Brown: Impossible! Its importance is very clear to be seen. You told me everything was alright just a few days ago.

Peter: I know. But there’s really nothing that can be done about it. The equipment has been damaged,and can’t be recovered in so short a period.

Mr. Brown: The general manager is going to be blue in the face when she hears about this. These following problems are hard to handle.

Peter: I’ve told all departments of the cancellation, and it is delayed to Friday.

Mr. Brown: You’d better call the client again and make apologies.

Peter: Yes, I did. It may not be so bad. The client had no opposition to a rescheduled time, and didn’t seem upset.

Mr. Brown: Let’s hope so. I have to say that it is your department’s mistake for not paying much attention to details on this meeting.

Work in pairs to make up a dialogue with your partner according to the following situation.

Suppose you are Johnson. You are asked to make a reservation for your company’s annual conference in Grand View Hotel. You are now calling the hotel receptionist to ask about some detailed information about the service the hotel can offer for holding the conference.

Reference:

Clerk: Hello, this is the Grand View Hotel. What can I do for you?

Johnson: I'm phoning from U.S. A, I need some information before making a reservation.

Clerk: Sure. What would you like to know?

Johnson: The first thing is how far the hotel is from the airport.
